The steps
Every step proves itself before the next one comes up
You do not have to say yes to a whole system in one go. You say yes to the next step, and that step is always small enough to walk back from.
01Step by step
Four steps, and each one stands on its own

The introduction: the rate card check
You send your rate cards and the invoices from one period, and we lay them side by side.
Within two to three weeks there is a decision document: per client what goes wrong in the rate or the indexation, and what you can do about it.
Before a single file is sent, we sign a non-disclosure agreement. Afterwards the data goes back or is deleted, with written confirmation.
You risk your own time here and nothing beyond it.

The paid check
Now it is about the buying side or about invoicing: the agency invoices next to the hours actually worked, or the work carried out next to the invoices sent.
There is a threshold under this. If the check yields less than twice its own price in demonstrable annual result, the invoice lapses and you keep the report.
Demonstrable means: traceable to the source line by line, counted as the effect over twelve months ahead. A difference of opinion about a line does not count.
If the build goes ahead after that, this check is credited in full.

The first system
Deliberately small and tightly bounded: a system around one process and around nothing more than that.
You pay in phases, against acceptance criteria that are signed before the start. We measure them against a baseline that we set together beforehand.
If the system does not meet those criteria, the final instalment lapses.
Your data and the output can always be exported, even when you stop.

The monthly fee
Once the system is running, it moves to a fixed amount per month. That can be cancelled every month.
Every month you get a report that accounts for what the system did and found that month.
Without that report a monthly fee is only a subscription.
02Confidentiality
What happens to your data
- A mutual non-disclosure agreement before the first document, even if it goes no further than an introduction.
- The data is used for this assignment only. Never compared with another client’s and never reused anywhere else.
- Processing within the EU, with access limited to named people. Bringing anyone else in is only allowed with your written permission in advance and under the same confidentiality.
- No model training on client data.
- Afterwards we delete everything, with a written confirmation.
- A 3PL works with other people’s goods and so carries confidentiality duties of its own towards its clients, among them the Fenex conditions. That is why we ask for as little as possible, in steps, and pseudonymised: Client A, Client B, Client C.
03Works council and privacy
We arrange the formal side along with it
Where a system touches the hours, performance or access of employees, the works council has a right of consent under article 27 of the Works Councils Act. We supply the papers for that, together with a DPIA, the mandatory assessment of privacy risks. It belongs to the product and does not arrive as a surprise halfway through the build.
